Who uses quote follow-up texts?
Insurance agents and agencies first, for auto, home, life and commercial quotes. The same sequence suits any sales team that sends a priced quote and waits for a yes.
For insurance agencies, the quote is the moment a prospect compares prices, and a text that asks one easy question gets answered between other things. Sales teams sending proposals use the same shape with their own wording.
What does a quote follow-up sequence look like?
Three texts over about a week: a same-day note that the quote has arrived, an offer to adjust it, and a text that closes the loop. A check before each follow-up skips anyone who already bound.
- Text · Day 1, the day the quote goes out
Hi {{First name}}, {{Agent}} at {{Agency}}. I've emailed your {{Policy type}} quote. Any questions I can answer here?
97 characters with the fields filled in, one segment. With the opt-out line: 2 segments.
- Wait
1 day, business days only
- Condition
Stage equals Bound: end the sequence for this lead. Otherwise: next step.
- Text · Day 2
Did the {{Policy type}} quote make sense? If the price is the sticking point, a different deductible can move it. Happy to run the numbers.
128 characters with the fields filled in, one segment. With the opt-out line: 2 segments.
- Wait
3 days, business days only
- Condition
Stage equals Bound: end the sequence for this lead. Otherwise: next step.
- Text · Day 5
I'll close this out for now, {{First name}}. If you want to revisit the {{Policy type}} quote, reply here any time and I'll pick it up.
115 characters with the fields filled in, one segment. With the opt-out line: 2 segments.
Every text in a sequence ends with: Msg frequency varies. Msg & data rates may apply. Reply STOP to opt out, HELP for help. A reply ends the sequence, so the line is on each automated text, and your team’s answers from the inbox go without it. Names are made up.
- The Condition steps read a Stage column. A Condition step reads the person’s row in your list at the moment it runs. Change a column by hand, or let your CRM’s sync change it, and the next Condition step sees the new value. When an agent marks the row Bound, the prospect hears nothing more.
- One sequence, several lines of business. A Condition step can also check Policy type and skip home prospects past a text written for auto, so one campaign covers every quote.
- Fields such as {{Agent}} and {{Policy type}} come from your list. If a field is empty for someone, they pause at that step with the missing column named, so nobody gets a text with a gap in it.
When should quote follow-up texts go out?
The first text the same day the quote goes out, inside business hours, and the follow-ups on the next business days.
Push quotes into the campaign as they go out, from your list or straight from your quoting tool through the API. With Send new leads automatically on, a quote added to a running campaign starts at once, and the sender runs every two minutes, so the first text goes out within minutes inside your hours.
Waits count whole days, from 1 to 30, and Business days only skips Saturdays and Sundays. To start a batch at a set time, use Schedule on the Launch tab and pick the date and time. Each campaign has its own sending days and hours. With Send in each lead’s local time on, those hours follow each person’s time zone, read from the area code of their number, and Textually never sends a campaign text before 8 AM or after 9 PM on their clock, the window US federal rules set for telephone solicitations (47 CFR 64.1200(c)(1)). A text that falls due outside the hours waits for the next allowed time.
What consent do insurance quote texts need?
Consent that covers texts from your agency, recorded with where and when the prospect gave it. Most agencies ask on the quote form.
Carrier guidance says an opt-in “should apply only to the campaign(s) and specific Message Sender for which it was intended or obtained” (CTIA, 2023), so a bought lead needs a form that named your agency. In Canada, a text that solely gives a quote the person asked for skips CASL’s consent requirement (s. 6(6)(a)). The insurance texting guide has the detail for both countries. This is a summary of public rules as of October 2026, not legal advice.
In Textually each person needs a consent record, the source and the date they agreed, carried from columns on your list or your CRM, or you confirm consent for the whole campaign at launch. A text step skips anyone without one and saves the reason on the lead. Leads added through the API must carry the consent source and date, or they are turned away.
What happens when a prospect replies or texts STOP?
A reply ends the quote sequence and goes to the shared inbox, where the agent picks it up. STOP or clear stop wording opts the person out across your workspace.
- A reply of any kind ends the sequence for that person, and no later step goes out. The thread lands in the shared inbox with a label such as Interested or Declined, and whoever answers sends from the number the person already knows.
- STOP, or clear wording such as “please stop texting me” or “remove me from your list”, opts the person out across your whole workspace: this campaign, every other campaign that holds their number, and any you run later. The inbox won’t send to them, and a later text from them does not undo it.
Every member of the workspace sees the reply in the bell inside Textually, and each person can turn on email or browser alerts. A thread that has waited more than 4 hours is marked overdue in Needs reply. A “call me” reply is a warm prospect, so answer it before the next quote.
The opt-out also holds if the prospect becomes a client later: your renewal campaign skips them, which keeps you on the right side of what they asked for.
How do I connect my CRM for quote follow-up?
Connect the CRM, choose Leads where it asks, and new quote requests come into a list you push into the campaign. Replies and opt-outs go back on the record.
Salesforce and Zoho CRM let you bring in Leads or Contacts, so quotes and policyholders can run in separate campaigns. Close adds each reply to the lead, and HubSpot adds a note on the contact. Match a Stage field from the CRM and Keep in sync, every hour, keeps the Condition steps current.
A quoting or agency management system without an integration works through a CSV export or the API.
