Renewal reminder texts: sequences that start a month out

Start renewal reminder texts about 30 days before the date, follow up a week later and again 7 days before. Sequences for contracts, memberships and plans.

By the Textually team. Updated October 14, 2026. 9-minute read.

Start renewal reminder texts about 30 days before the renewal date: a factual first text with the plan and the date, a follow-up a week later, and a last text 7 days before, each inviting a reply. No study has measured how texting changes renewal rates, so treat this timing as practice to test against your own numbers.

This guide covers what the evidence does and doesn't say, when to start for contracts, memberships, service plans and policies, what consent renewal texts need in the US and Canada, ready-to-paste sequences, how to answer customers who want to change or cancel, and how to test whether the texts help. It is part of our guide to texting existing customers.

What does the evidence say about renewal texts?

Nothing direct. We searched for studies from 2023 to 2026 that measure texting and contract, subscription or membership renewals and found none, from researchers or from regulators. The closest evidence comes from neighboring tasks where a timed text asks someone to act before a date:

Finding Sample Source
Two reminders, 3 days and 1 day before, led to fewer missed visits than one: 4.4% against 5.3% and 5.8%. Satisfaction was unchanged 54,066 patients, randomized Kaiser Permanente Colorado, American Journal of Managed Care, 2018
One SMS the day before a due date "reduced the share of customers who were charged late payment fees by at least one in five" 34,365 customers, randomized AFM, Dutch financial regulator, 2024
60% of software buyers regretted a purchase; "Nearly a quarter of regretful buyers (24%) canceled their contract and a third changed software vendors" 3,400+ software buyers (survey by Gartner Digital Markets, which runs software review sites) Gartner Digital Markets, 2023

Two lessons carry over. A short series of well-timed texts does better than one, and a customer who is unhappy decides long before the renewal date. That is why renewal texts work best as an invitation to talk, sent early enough for the talk to matter.

When should you start renewal reminders?

About a month before the date that matters, which is not always the renewal date. If your contract asks for 30 days' notice to cancel or change, the deadline is the notice date, so start about a month before that.

What renews Start Follow-ups Notes
Annual software or service contract 30 days before the renewal, or before the notice deadline 7 days later, then 7 days before Offer a review call in the first text
Contract with a price change 30 to 45 days before 7 days later, then 7 days before State the new price plainly in the first text
Membership (gym, club, association) 2 to 3 weeks before 7 days later Keep it to the date and how to renew or change
Home services plan (HVAC, pest, lawn) 30 days before 7 days later, then 7 days before Pair it with booking the next visit
Insurance policy About 30 days before 7 days later, then 7 days before See our insurance texting guide
Monthly subscription Only when something changes None A monthly reminder for an unchanged plan reads as noise

Send inside business hours in the customer's time zone, and count waits in business days for business customers.

The customer's permission to receive texts, and the stricter kind if a text sells something new. A renewal notice that states the plan, the date and how to reach you is a service message; a text that pushes an upgrade is promotional. This section summarizes public rules as of October 2026. It is not legal advice, so ask a lawyer about your own program.

United States. Carrier guidance expects "express permission" for informational texts and written agreement for promotional ones (CTIA, 2023). Federal rules require "prior express written consent" for texts that advertise, sent with an autodialer to a mobile number (47 CFR 64.1200(a)(2)), with no exception for existing customers. If you sell consumer subscriptions that renew automatically, ask a lawyer which renewal notices your states require and in what form, and send the texts alongside those notices.

Canada. CASL lets a message skip the consent requirement if it "solely" provides "notification of factual information about" the person's "ongoing subscription, membership, account, loan or similar relationship" (CASL s. 6(6)(d)). It still has to identify you and include an unsubscribe mechanism (s. 6(2)). Add an upgrade offer and the exception falls away, so you then rely on consent. A written contract gives implied consent while it is in force and for two years after it ends (s. 10(10)). Our CASL guide explains both routes.

Renewal sequence for annual contracts

Every template here fits in one segment (160 characters) with the fields filled in, before the opt-out line is added. Swap "Sam" and "Northwind" for your name and company.

Text 1, 30 days before:

Hi First name, Sam at Northwind. Your Plan renews on Renewal date. Anything you'd like to change before then?

Wait 7 days. If no reply:

A quick reminder that your plan renews on Renewal date. Want a 15-minute review first? Booking link

Wait 16 days (7 days before the date). If no reply:

Your renewal is next week, First name. Reply here with any questions, or no reply is needed if all is well.

The first text asks an open question, the second offers a call, and the last tells the customer plainly that silence is fine. That last line keeps the sequence honest: the renewal is already agreed, and the texts make it easy to raise anything first.

When the price changes

Say the new price in the first text, with the date it starts, so the customer can ask about it well before the invoice arrives.

Hi First name, Northwind here. From Renewal date, your Plan will be Amount a year. Questions? Reply and Sam will call you.

Memberships

Hi First name, your Northwind membership renews on Renewal date. Reply here to change your plan or ask a question.

Wait 7 days. If no reply:

A reminder that your membership renews on Renewal date. Reply here if you'd like to talk it over.

Home services plans

Maintenance plans renew best when the next visit is part of the message:

Hi First name, your Northwind Plan renews on Renewal date. Want us to book your Service at the same time?

Wait 7 days. If no reply:

Shall we keep your Plan going and pencil in the Service? A quick yes or no is plenty.

How should you handle renewal replies?

Stop the automated texts for anyone who replies, and answer the same day from the same number. Renewal replies often carry a decision, so they need a person who can act on it.

Reply What to do
"Yes, all good" Thank them and confirm the date and amount
A question about price or terms Answer in the thread, or offer a call the same week
"We want to downgrade" Ask what changed, offer the right plan, confirm in writing
"We want to cancel" Confirm how and when it takes effect, ask what led to it, and make it easy
"Who is this?" "It's Sam from Northwind, your account contact. Your Plan renews on Renewal date."
STOP Send only the single confirmation, then no more texts

Opt-outs must be honored within 10 business days under US rules (47 CFR 64.1200(a)(10)) and CASL (s. 11). Stopping at once is the safe practice.

If the renewal payment fails, switch to a payment reminder sequence: a factual text the day after, then a personal one a week later. Timing and wording are in our reminder sequences guide.

What should a renewal text leave out?

  • Card numbers, bank details or login codes. Never ask for them by text. People reported $470 million lost to scams that started with a text in 2024, with fake bank fraud alerts among the most common (FTC, 2025).
  • Upgrade offers, unless the customer agreed to promotional texts.
  • Pressure. "Renew today or lose your rate" invites a STOP. State the facts and the date.
  • Links on domains customers won't recognize. Use your own domain for booking and billing links.

How can you tell whether renewal texts help?

Run your own test, since no published study answers the question. Take your next few months of renewals, split them at random into two groups, and send the text sequence to one group while the other gets your usual emails and calls. Then compare:

  • Renewal rate in each group.
  • Downgrades and cancellations, and how early they were raised.
  • Replies per text, and how many turned into a call.
  • Opt-outs per text. A step with more opt-outs than the rest is the one to rewrite.

Small groups give noisy results, so read a difference of a few renewals as a hint and keep the test running. Our guide to SMS for sales and customer follow-up covers the other numbers worth tracking.

Where does Textually fit?

Textually runs renewal sequences like these for teams in the US and Canada. You import customers with their renewal dates by CSV or paste, and write Text, Wait and Condition steps with any column, such as Plan or Renewal date, as a field. Waits count from the day a customer joins the campaign, so to time texts against a date, push each week's renewals in about 30 days ahead. Each customer stays on the same number, registered by Textually for 10DLC in the US or as a verified toll-free number for Canada, and texts send only inside your sending days and hours with a consent record or a campaign-wide confirmation. A reply ends that customer's sequence and lands in one shared inbox with the full history and suggested replies. There is a monthly platform fee ($99, or $49 at the founding price for the first 1,000 teams), with texts charged per segment and replies free (pricing). Questions

When should I send a renewal reminder text?

About 30 days before the renewal date, with a follow-up a week later and a last text 7 days before. If your contract has a notice period, count back from the notice deadline instead, so the customer has time to raise changes.

What should a renewal reminder text say?

Your name and business, the plan, the renewal date and an easy way to reply: "Hi Jordan, Sam at Northwind. Your annual plan renews on November 14. Anything you'd like to change before then?" Keep it factual and save upgrade offers for customers who agreed to promotional texts.

Do renewal reminder texts reduce churn?

No published study has measured texting's effect on renewals. Reminder trials show that two timed texts beat one for appointments and payments, which is the logic behind the sequence. Test it on your own renewals with a random split.

Do I need consent to send renewal reminders?

Yes, permission to text that covers service messages. In Canada, a message that solely gives factual information about an ongoing subscription or membership is exempt from CASL's consent requirement, though it still needs your identification and an unsubscribe option. This is not legal advice.

How many renewal texts should I send?

Two or three, starting about a month out, with a reply check before each one. More than that around a single date starts to feel like pressure.

Should I text customers before a monthly subscription renews?

Only when something changes, such as the price or the plan. A reminder every month for an unchanged subscription adds noise and opt-outs. Annual renewals, contracts and memberships are where reminders earn their place.
