# Appointment and payment reminder text sequences

> Send two reminders, 3 days and 1 day before, with an easy way to confirm or reschedule, then follow up after a miss. Templates and what trials show.

Updated 2026-10-14. https://usetextually.com/guides/appointment-and-payment-reminder-texts

The reminder sequence with the best evidence is two texts: one about 3 days before the appointment and one the day before, each with an easy way to confirm or reschedule, plus a follow-up if the person misses it. For payments, send a heads-up, a text the day before the due date, and a follow-up after it.

This guide covers what the research says about reminder texts (including the studies where they made little difference), the timing to use, ready-to-send sequences for appointments and payments, what consent reminders need in the US and Canada, and what to leave out of the text.

## Do reminder texts reduce no-shows?

Often, yes, and two reminders tend to beat one. The evidence is strongest from large trials in healthcare, and a few newer studies show smaller or uncertain effects, so the honest answer is that reminders help most when they make it easy to confirm, cancel or rebook.

What the larger studies found:

| Study | Who | What happened |
|---|---|---|
| [Kaiser Permanente Colorado, American Journal of Managed Care, 2018](https://www.ajmc.com/view/optimizing-number-and-timing-of-appointment-reminders-a-randomized-trial) | 54,066 primary care patients, randomized | Reminders 3 days and 1 day before: 4.4% missed visits, against 5.8% with a 3-day reminder only and 5.3% with a 1-day reminder only. Satisfaction unchanged. Most reminders went by text (76.4%) |
| [Walmart pharmacy megastudy, PNAS, 2022](https://doi.org/10.1073/pnas.2115126119) | 689,693 pharmacy patients, 22 text programs | Reminder texts raised flu vaccination by 2.0 percentage points (6.8%). The best program was "two texts delivered 3 d apart" |
| [Systematic review, Journal of Hospital Management and Health Policy, 2026](https://jhmhp.amegroups.org/article/view/10215/html) | 10 studies, 8,236 participants | Reminders overall improved hospital attendance. Text reminders alone pointed the same way (risk ratio 1.14) but the result was not statistically significant |
| [US passport appointments, Office of Evaluation Sciences, 2025](https://oes.gsa.gov/projects/2313-reducing-no-shows-passport-appts/) | About 100,000 appointments in 2024 | No significant change in no-shows. Cancellations rose 2.1 percentage points, freeing slots for others. About half of customers opted in to texts |

Two lessons for any business:

1. **Send a short series.** The two-reminder pattern (3 days and 1 day before, or two texts a few days apart) did better than one text in the trials that tested it.
2. **Count cancellations as a win.** A person who cancels by text two days ahead frees a slot you can fill. The passport study shows reminders can work this way even when the no-show rate barely moves.

## Do payment reminder texts work?

A text the day before a due date helps people pay on time. In a preregistered randomized experiment by the Dutch financial regulator AFM with the payment provider Riverty, 34,365 customers were split into groups, and one SMS the day before the due date "reduced the share of customers who were charged late payment fees by at least one in five" ([AFM, 2024](https://www.afm.nl/~/profmedia/files/rapporten/2024/bnpl-riverty-experiment-en.pdf)). The report also found no rise in calls to customer service and "no indications that customers feared phishing" from the payment link.

The same report is honest about limits: at least one in eight customers still paid late with a reminder. A sequence with a follow-up after the due date catches some of them.

## When should you send reminder texts?

Time each text against the appointment or due date, inside daytime hours in the recipient's time zone.

| Situation | Text 1 | Text 2 | Text 3 |
|---|---|---|---|
| Appointment booked a week or more ahead | At booking: confirmation | 3 days before | 1 day before |
| Appointment booked for the next few days | At booking: confirmation | The day before, or the morning of | After a miss: rebook |
| Sales meeting or demo | At booking: confirmation with the time | The day before | After a miss: rebook |
| Job interview | At booking: time and place | The day before | After a miss: rebook |
| Payment due | 5 days before: heads-up | 1 day before | 1 to 3 days after, if unpaid |

US federal rules bar telephone solicitations before 8 a.m. and after 9 p.m. in the recipient's local time ([47 CFR 64.1200(c)](https://www.ecfr.gov/current/title-47/chapter-I/subchapter-B/part-64/subpart-L/section-64.1200)). Reminders are usually informational, but sending them in daytime hours is the courteous choice either way.

## Appointment reminder templates

Each text fits in one segment once the fields are filled in. Swap "Northwind" for your business, and use your own fields in double braces. A reply from the person should stop the rest of the sequence, so someone on your team can answer.

**Confirmation, at booking**

> Northwind: you're booked for {{Service}} on {{Date}} at {{Time}}. Reply here if you need to change it.

**3 days before**

> Hi {{First name}}, a reminder of your {{Service}} with Northwind on {{Date}} at {{Time}}. Reply C to confirm or R to reschedule.

**1 day before (if no reply yet)**

> See you tomorrow at {{Time}}, {{First name}}. Reply R if you need a new time.

**After a missed appointment**

> Hi {{First name}}, we missed you today. Want to pick another time this week?

**Wait 2 days, then (if no reply yet)**

> Here's a link to book a new time when it suits you: {{Booking link}}

The follow-up after a miss matters. In New York City, the most effective set of court-date texts combined reminders before the date with a follow-up after a missed date, and cut failures to appear by 26% ([J-PAL summary of Fishbane, Ouss and Shah, Science, 2020](https://www.povertyactionlab.org/print/pdf/node/2395)). Different setting, same mechanics.

### Variations by business

**Clinics and health practices.** Keep the text to the time, the place and how to reschedule, with no diagnosis or treatment details:

> Northwind Clinic: reminder of your appointment on {{Date}} at {{Time}}. Reply R to reschedule or call {{Phone}}.

Related: [clinic and dental appointment reminder texts](/guides/clinic-appointment-reminder-texts).

**Home services.** Give the arrival window and ask about access:

> Hi {{First name}}, Northwind Plumbing is booked for {{Date}}, arriving {{Window}}. Anything we should know about access?

**Sales meetings and demos.**

> Hi {{First name}}, looking forward to our call tomorrow at {{Time}}. Here's the link: {{Meeting link}}

**Interviews.**

> Hi {{First name}}, a reminder of your interview for {{Role}} tomorrow at {{Time}} at {{Address}}. Reply here if you need to change it.

## Payment reminder templates

Keep payment texts factual: amount, date, how to pay, and how to reach a person. Use links on your own domain only, and never ask for card numbers, passwords or codes by text. People reported $470 million lost to scams that started with a text in 2024, and fake package delivery notices and fake bank fraud alerts were among the most common ([FTC, 2025](https://www.ftc.gov/news-events/data-visualizations/data-spotlight/2025/04/top-text-scams-2024)). Make your texts easy to verify.

**5 days before the due date**

> Hi {{First name}}, Northwind here. Your invoice {{Invoice number}} for {{Amount}} is due on {{Due date}}. Questions? Reply here.

**1 day before**

> A reminder that {{Amount}} is due tomorrow, {{Due date}}. You can pay at {{Payment link}} or reply with any questions.

**1 to 3 days after, if unpaid**

> Hi {{First name}}, our records show {{Amount}} from {{Due date}} is still open. If you've already paid, thank you, and please ignore this.

**7 days after, if unpaid**

> Hi {{First name}}, it's Sam at Northwind. Can I help with the open invoice? Reply here and we'll sort out a plan.

If you collect debts owed to another business, debt collection laws add their own rules for texts. Ask a lawyer before using these templates for collections.

### Renewal and subscription reminders

[Renewals](/guides/renewal-reminder-texts) sit between reminders and sales: give the date, then invite a conversation.

> Hi {{First name}}, your {{Plan}} renews on {{Renewal date}}. Anything you'd like to change before then?

Wait 7 days. If no reply:

> A quick reminder that your plan renews on {{Renewal date}}. Reply here with any questions.

## What consent do reminder texts need?

Reminders need the person's permission to be texted, and they should stay free of promotions. This section summarizes public rules. It is not legal advice.

**United States.** CTIA's carrier guidance sorts texts into three kinds: conversational (the person texted first), informational and promotional. Informational texts, such as reminders, need the person's "express permission"; promotional texts need agreement in writing ([CTIA Messaging Principles and Best Practices, 2023](https://api.ctia.org/wp-content/uploads/2023/05/230523-CTIA-Messaging-Principles-and-Best-Practices-FINAL.pdf)). The usual way to get it is at booking: a checkbox or a clear line next to the phone field saying you'll text reminders about the appointment, with how to opt out. Record where and when they agreed. Add a sales offer to a reminder and it becomes promotional, with stricter consent rules.

**Canada.** CASL lets certain messages skip the consent requirement if they "solely" facilitate, complete or confirm a transaction the person agreed to, or give factual information about an ongoing subscription, membership, account or loan ([CASL s. 6(6)](https://laws-lois.justice.gc.ca/eng/acts/E-1.6/FullText.html)). Those messages still need to identify you and include an unsubscribe mechanism (s. 6(2)). A reminder with a promotion attached loses that exception.

In both countries, honor opt-outs at once. US rules set an outer limit of 10 business days for revocation requests ([47 CFR 64.1200(a)(10)](https://www.ecfr.gov/current/title-47/chapter-I/subchapter-B/part-64/subpart-L/section-64.1200)), and CASL sets 10 business days for unsubscribes (s. 11).

## What should a reminder text leave out?

A reminder should carry the least information that still does the job:

- **Health, legal or financial details** beyond the time, the place and the amount due.
- **Requests for card numbers, passwords or one-time codes.**
- **Links on domains people won't recognize**, including shared public link shorteners, which carriers filter ([CTIA, 2023](https://api.ctia.org/wp-content/uploads/2023/05/230523-CTIA-Messaging-Principles-and-Best-Practices-FINAL.pdf)).
- **Promotions.** Keep offers in a separate, consented program.
- **Long text.** Two short sentences fit one segment. One emoji drops the [segment](/guides/text-message-segments) limit from 160 characters to 70.

## How should you handle replies to reminders?

Treat every reply as a conversation, and stop the automated texts for that person. "C" or "Yes" needs a short thanks. "R" or "Can we move it?" needs a person with the calendar. "Who is this?" needs your name, your business and the booking it relates to. STOP needs nothing beyond the single confirmation, and no further reminders.

Answering quickly is part of the service. In J.D. Power's 2024 study of 2,982 insurance claimants, just 39% said their insurer always responds in a timely fashion to emails and texts ([J.D. Power, 2024](https://insurance-canada.ca/2024/12/05/jd-power-digital-claims-features-apps/)). Keeping every reply in one place, with the reminders that came before it, lets whoever picks it up answer without asking again.

## Where does Textually fit?

Textually runs reminder sequences as multi-step campaigns for teams in the US and Canada. You push people into a campaign from a table (CSV or paste), or let new rows join automatically, and the steps run from that moment: a Text, a Wait counted in days (with an option for business days only), a Condition that checks for a reply, and the next Text. To time reminders against a date, push each day's bookings at the right point, for example three days ahead. Texts go out only inside your sending days and hours, each person hears from the same number every time, and a reply ends their sequence and lands in one shared inbox with the full history. ## Questions

### How far in advance should you send an appointment reminder?

Send one 3 days before and one the day before. In a randomized trial of 54,066 patients, that pair led to fewer missed visits than either reminder alone (Kaiser Permanente Colorado, 2018). For appointments booked only a few days out, a confirmation at booking and a reminder the day before is enough.

### How many reminder texts should you send?

Two before the appointment, plus one follow-up if the person misses it. The large trial that compared one reminder with two found two worked better (Kaiser Permanente Colorado, 2018), and the evidence for sending more than two is thin.

### Should a reminder ask people to confirm?

Yes. A simple "Reply C to confirm or R to reschedule" turns the reminder into a two-way check, and early cancellations free slots you can fill. Make sure someone answers the reschedule replies the same day.

### What should a payment reminder text include?

Your business name, the amount, the due date, how to pay, and how to reach a person. Leave out account numbers and never ask for card details by text. A link should go to your own domain.

### Do I need consent to send reminder texts?

You need the person's permission to text them, usually given when they book and share their number. CTIA's guidance treats reminders as informational messages that need express permission. In Canada, CASL exempts messages that solely confirm a transaction or give factual account information from the consent requirement, but they still need your identification and an unsubscribe option.

### Do reminder texts work outside healthcare?

The largest trials are in healthcare, but the same pattern shows up elsewhere: one SMS before a due date cut late payment fees by at least a fifth in a 34,365-customer experiment (AFM, 2024), and court-date texts in New York City cut missed dates. Results vary, so measure no-shows and cancellations before and after you start.
